Services Officer (Maternity Leave Contract 12 months)
Student Services Officer (Maternity Leave
Contract 12 months) to commence in November 2013 – A full time term time
position exists for a Student Services Officer in the day school.
This role exists to:

Manage the School’s Student Services Office
·
Support Reception as the office is shared
·
Provide administrative support to the Director
of Student Wellbeing, Director of Learning and Enterprise Manager
Manage Student Services:
·
Responding to student needs in a timely and
cordial manner
·
Liaise with other departments of the School to
collate and record absentee information
·
Record, investigate and collate students’
signing in and out of the School in liaison with the Health Centre and teachers
·
Manage Student absence records and SMS messages
in TASS
·
Liaise with parents and staff to fulfill the
School’s duty of care regarding student attendance and wellbeing
·
Establish and maintain records for the school
i.e. TASS Student and Parent Records, Subjects and Timetable
·
Establish and maintain records for the QSA i.e.
SDCS, Registration & Banking of credit systems
·
Manage name badges for all students
·
Locate students during the school day as
required using TASS
·
Arrange student/parent/teacher appointments
·
Open student lockers where the key is lost
·
Receive, store and distribute lost property and
confiscations
·
Sell tokens and collate and compile student and
staff morning tea and lunch orders for Catering, reconcile token sales, pass
money on to Accounts for banking weekly.
·
Compile reports for QSA and other Government
bodies
·
Prepare and distribute Student Academic reports
·
Assist with and prepare for Parent Student
Teacher Learning Conversations twice a year
·
Compile and publish VET certificates and
statements
·
Manage and print the School’s Daily Notices
Bulletin
·
Cover for other Administration staff during
short term absence.
·
Manage bus and catering bookings through
Excursion forms
·
Process and receipt walk-in payments
·
Participate in the Enrolment Process regarding
timetables, name badges and TASS Portal registration for all students and
families
·
Provide support for the Director of Student
Wellbeing, Director of Learning & Enterprise Manager
·
Mediate teacher and parent liaison
·
Data collection and entry
·
Arrange appointments
·
Handle and prepare confidential and general
correspondence, including facsimile, email and postal - both internal and
external
·
Monitor/screen telephone calls
·
Prepare and contribute to internal and external
publications
Essential Competencies:
·
Demonstrate understanding and commitment to the
philosophies of Girls Grammar.
·
Excellent computer skills, including high level
proficiency with Microsoft Office software.
·
Excellent interpersonal and problem-solving
skills to liaise with staff, students, parents and with the public generally.
·
Be highly organized, able to work well under
pressure, able to exercise initiative, judgment and flexibility in dealing with
competing priorities, needs and deadlines.
·
Ability to work autonomously and within a team
environment.
·
Excellent time management and project management
skills to ensure that deadlines are met
