Senior Receptionist at Startts in Carramar



Job Title: Senior Reception/Administrative Officer
Full-Time 24 month Contract
Position No. ADM13-04
Location: Carramar
The Roles:
STARTTS is looking to employ an enthusiastic Receptionist/Administrative Officer with relevant experience to greet clients and visitors and provide administrative support to STARTTS based in the Carramar office.
  • Take down, type and distribute minutes for Staff and Community Development Meetings
  • Maintain orders and sales and send out reminders for the FICT Kit and games, “Eye of the Needle” Trainers Kit and Physiotherapy Manuals
  • Assist in sorting, opening, registering and distributing of incoming and outgoing mail promptly
  • Maintain STARTTS generic email daily.
  • Relieve other clerical/administration staff at Carramar, Liverpool, Black town and Auburn offices as required Travel between Carramar, Liverpool, Black town and Auburn offices when required
  • Take responsibility for distribution of „Refugee Transitions‟ magazines and other material as directed
  • Assist in maintenance of WHS issues in office.
  • Assist with Event management and
  • Administration Support of events as required.
  • Support Administration Support Team Leader as required
  • Perform other duties as directed
  • Open up the Centre at 8.30am sharp, secure and close the Centre 5.00pm
  • Answer telephones queries and direct inquiries as appropriate
  • Attend to clients, visitors and staff at counter
  • Obtain client, visitor information as necessary and complete related paperwork if relevant
  • Direct clients, visitors and staff to appropriate areas ensuring only those staff and clients have access to the premises
  • Liaise with Interpreter services, psychiatrist, sessional staff and affiliates regarding bookings
  • Maintain stationery and consumables levels for office.
  • Administration Support of Rural and Regional Offices as required
The scope of the role includes:
  • Front office reception, greeting visitors and telephone callers and find out the nature of their enquiry often dealing with refugees from a variety of cultures
  • Operate a busy telephone switchboard
  • Provide information to assist clients or refer them to appropriate contacts, either in the organization or elsewhere
  • Provide administrative assistance including ad-hoc projects
  • Carry out word processing, data entry, filing, and mail-outs as required
  • Open and deal with incoming mail, and organize outgoing mail
The successful applicant will be part of a multicultural and multi-disciplinary team.
Skills Required
  • Ideally you will be a highly motivated person with demonstrated experience in reception and office administration.
Essential:
  • Effective verbal and written communication skills demonstrating initiative when liaising with people in arrange of situations
  • Proactive problem solving skills, including ability to deal with third party providers to achieve solutions
  • Ability to prioritize varied workload to achieve required outcomes in a busy environment
  • Experience/knowledge in MS Access, MS Word and MS Excel
  • Experience in general clerical tasks and ability to train new staff in all administrative procedures and practices
  • Well Developed skills in quality data entry.
  • Ability to work in multicultural environment, with minimal supervision and as part of a team
  • Ability to work with varying levels of management to negotiate solutions to conflicting priorities.
  • Willingness to travel between Carramar, Liverpool, Black town and Auburn offices
Desirable:
  • NSW Driver’s License
  • First Aid Certificate
  • Bilingual/Multilingual
